Multi-Studio Inventory

Designed a count workflow that keeps manual stock counts attached to the right product and studio.

The situation

When the shelf moves, the count should not.

The same product can appear in different studios and several shelf zones. A live spreadsheet can reorder those rows while someone is typing a physical count, silently attaching their number to another product.

What needed doing

Adapt to changing shelf locations without letting source changes corrupt the manual counting step.

What the design resolves

Stable rows. Traceable differences.

The workflow separates changing location data from manual entry and preserves studio-level counts. No numerical reduction in errors is claimed.

What I did.

Keep a live map of the room

Use the Room Map as the location source. Combine zones for a product within one studio while keeping the same SKU in another studio separate.

Freeze the working set

Generate the count setup, then copy it as values before anyone enters a physical count. The live source can change without moving the rows under the counter.

Reconcile and retain the week

Compare physical counts with Shopify quantities, calculate variances, and archive completed counts rather than overwriting their history.
